About this role

You will serve as Impact Applications' Bookkeeper, AR, AP, and Grant Reporter, the person who keeps our financial records and operations accurate and on time by collecting and enforcing payment from clients, ensuring our own bills and contractors are paid correctly and on schedule, and completing the claiming and reporting work that gets our clients their approved grant funding deposited into their bank accounts. This is a detail- and deadline-driven role where accuracy, initiative, follow-through, and proactive communication directly protect our cash flow, our clients' trust, and their funding results. At Impact Applications, you'll wear three hats: keeping our own books airtight as our Bookkeeper, making sure money owed to us and by us moves on time as our AR and AP, and completing the claiming and reporting work that gets approved grant funds into our clients' bank accounts as our Grant Reporter.

Location: 100% Remote — open to applicants from anywhere in the world
Role type & hours: Full-time, 40 hours per week (contractor). Available 9am to 5pm Monday to Friday, Alberta (Mountain) time.
Department: Finance (Bookkeeper, AR, & AP) and Client Fulfillment (Grant Reporter)
Reports to: Client Account Manager for Grant Reporter responsibilities and CEO for Bookkeeper, AR, & AP responsibilities. Trained by our Senior Grant Writer and Business Data Analyst for the first 60 days.

What you'll do

As our Bookkeeper you will:

  • Reconcile all accounts, including shareholder, bank, and credit card accounts, and post entries to Zoho Books.
  • Create and update our financial statements (Income Statement, Balance Sheet, and Statement of Cash Flows) within 5 business days of month close.
  • Accurately record and visualize our key KPIs and data points every month.

As our AR (Accounts Receivable) you will:

  • Ensure every client invoice is sent, charged, and collected on the day it's due, aiming for zero overdue invoices and zero DSO (Days Sales Outstanding).
  • Update clients' credit cards and payment methods.
  • Monitor and follow up on any overdue amounts until they're collected in full.

As our AP (Accounts Payable) you will:

  • Ensure every invoice we owe is paid exactly on the day it's due, no earlier and no later, per the terms of our signed agreements.
  • Process our employees' payroll and pay our contractors.
  • Look for opportunities to reduce or eliminate unnecessary expenses.

As our Grant Reporter you will:

  • Take over each grant the moment one of our Grant Writers gets it approved.
  • Submit grant reports and claims within 5 business days, communicating directly with clients by email or virtual meeting as needed.
  • Complete all claiming and reporting work required to get approved Small and Big Grant funds deposited into our clients' bank accounts, aiming for 100% collected.

What you'll bring

Hard skills

  • 3 or more years' bookkeeping or accounting experience, including AR/AP, reconciliations, and financial statement preparation.
  • 2 or more years' experience and proficiency with Zoho Books and Zoho Analytics.
  • Strong Excel/Google Sheets and Zoho Analytics skills for financial data, reporting, and dashboards.
  • Strong Google Workspace skills (Docs, Sheets, Drive).
  • Comfortable working with Monday.com, Claude, and other AI tools.
  • Excellent written and oral English communication skills.
  • Familiarity with Canadian grant and SR&ED claiming and reporting processes is an asset, but we can teach you.
